What I offer

Behind the scenes,
beside the agency.

Veliora is the professional practice of Chiara Silvaggi. I work with event agencies, DMCs, incoming agencies and hospitality partners whenever they need an extra operational resource for a single project, a busy period or an on-site presence.

I slot into your existing workflow, following the agency's procedures, tone and direction. When required I work white label: the client relationship and the lead on the project stay with the agency.

Flexible
Per project, by the day or for specific operational phases.
Discreet
White label when needed, never stepping into the agency–client relationship.
Hands-on
Practical support in preparation and in the field.
Confidential
Veliora's level of visibility adapts to each assignment.

Areas of support

Four areas,
one operational point of contact.

I

Events & on-site

  • Preparation, checklists and timelines
  • Welcome and guest management
  • Site inspections and venue checks
  • Supplier coordination
  • Run-of-show support
  • On-site presence and troubleshooting
II

Transfers & logistics

  • Coordination of chauffeur cars, vans and drivers
  • Vehicle allocation and passenger lists
  • Airport arrivals and departures
  • Meet & greet and group movements
  • Briefing drivers and local contacts
  • Handling programme changes
III

Travel & hospitality

  • Hotels, rooms and rooming lists
  • Restaurants and reservations
  • Itineraries, incentives and experiences
  • Guest and delegation assistance
  • Liaison between suppliers
  • Last-minute requests
IV

Registration & accreditation

  • Registration and welcome desk
  • Badges, lists and accreditation
  • CME congresses and scientific meetings
  • Managing guest arrival flows
  • Attendance checks and data handover
  • Single point of contact for the agency

The scope is defined for each assignment. It can be very narrow — a single task, one day or one specific phase. Either way, the agency always has one point of contact.

How I work

Easy to bring into the team.

The aim is to lighten the agency's operational load, not to add complexity.

01
Brief
Objectives, timings, responsibilities and agency standards. Agreeing the scope and the level of visibility.
02
Preparation
Checklists, contacts, suppliers, guest lists and open points, in the formats and tools the agency already uses.
03
Alignment
Direct coordination with the team and partners involved, with a single point of contact on the agency side.
04
On-site
Hands-on presence: guests, timing, suppliers and problem solving within the agreed scope.
05
Wrap-up
A clear handover of everything managed, with notes for future editions.
The scope, clear from day one

Stays with the agency

  • The client relationship and ownership
  • Creative and strategic direction
  • Commercial negotiation
  • Visibility and credit for the work

My commitment

  • No direct or independent contact with the end client
  • No offer of services outside the assignment
  • Confidentiality on every project, NDAs signed on request
  • Immediate escalation of any decision outside the scope
Ways of working together

Three formats,
to suit the need.

I

By the day

On-site presence for one or more specific days: an event, a site inspection, arrivals. The simplest way to start working together.

II

Per project

Support across the full cycle of an event, from preparation to wrap-up, with scope and deliverables set out in the initial brief.

III

Across several events

Recurring support across an events calendar or a season, with a consistent method and shorter lead times.
